SPECIALTY MENU DESIGN:
Please sit down with one of our catering staff to create and design a menu that is catered to your specific needs and pricing. All Meals Include Fruit Infused Water Assortment of Beverages Available. Linen, China, and Service are extra cost
FIRST STEP
Contact a member of our catering staff. You will be asked to provide the following information: Name of group, date of event, time, approximate number of guests and type of event. The staff will help you determine the best possible room location for your event. A room must be reserved before initiating a catering request for an on- campus function.
SECOND STEP
Plan the specifics of your event by working with our Catering staff. We will work within your budget to ensure that every detail, including custom menus, beverages, rentals, staffing, and floral arrangements is taken care of.
GUIDELINES FOR PLANNING YOUR EVENT
Orders for refreshment breaks should be placed a minimum of 3 business days prior to the event. Requests for meals and receptions should be placed a minimum of 7 business days prior to the event, and the event should be finalized no less than 7 business days in advance of the event. Events scheduled less than 3 business days in advance may be assessed an additional fee. Two hours of service are normally provided for catered meals from start to finish. If additional service is needed there will be a 15.00 per hour per worker service charge. In order to assure that your event runs smoothly we have implemented the following guidelines.
DEPOSIT & GUARANTEE
A 50% deposit is required to confirm a reservation for catering service a minimum of 2 weeks in advance of the planned event date. Final payment is due no less than 48 hours prior to the event day. Some events may require credit card information or security funds to be held on file for incidental charges after the event Half of the estimated total charges will be due 2 weeks prior to the function. It is further agreed that the entire estimated amount due shall be paid 72 hours prior to the function. All deposits and payments may be made by check, cash or MasterCard/Visa. Credit Card Information will be on file for after function incidental billing.
GUARANTEED GUEST COUNTS
A confirmed number of guests must be specified 3 business days prior to the event. This number is considered the guaranteed guest count. There is a 5% variance allowance on your guest count. For example, a guest count of 100 has an overage allowance of 5 guests (105), or an under allowance of 5 guests (95). If the actual number of guests exceeds allowed variance, every effort will be made to accommodate the additional guests (A substitute menu may be required).
CANCELLATION
Events may be cancelled up to 7 days in advance of a confirmed date without charge. Cancellations between 3 and 6 days of confirmed dates may result in charges for expenses up to 50% of the event value. Cancellations of 3 days or less may be charged full event value.
MINIMUM ORDERS
Group events requesting served meals outside of the Campbell Student Union must have a minimum number of 15 guests. For buffet service a minimum of 20 guests is required.
ALCOHOL BEVERAGE SERVICE
The state, federal and local laws, as well as specific campus policy govern the service of alcoholic beverages. Please discuss your beverage request with the Facilities Coordinator in the Reservations office. All alcoholic beverages must be supplied and served by Buffalo State Catering. No alcoholic beverages are to be brought on premises. Services outside of the Campbell Student Union requires a 3 week minimum advanced application for permits. The permit fees will be charged to your event.
SAFE FOOD HANDLING
Safe food handling is a high priority for Buffalo State Catering Therefore, we reserve the right to limit the removal of leftover food by the customer to items that are available for carry out. For your safety, and that of your guests, a Catering representative will remove food from your event in a timely manner. According New York State Health Code no food prepared by Buffalo State Catering and remaining uneaten after a function may be taken out of the facility by the customer. No liquor or beer may be brought on to the premises.
